How Alibaba Trade Assurance Works and How to File a Claim

Alibaba Trade Assurance is the order protection built into Alibaba.com: when you pay through the platform and the supplier ships late, does not ship, or ships goods that miss the quality written into the online order, you can claim a refund, and if Alibaba's dispute team rules for you, Alibaba can pay it on the supplier's behalf up to what you paid into the order. It costs only the payment method's processing fee, and the claim must be opened within 30 days of confirmed receipt, or 60 days for Enterprise and Enterprise Pro buyers.
This guide is for US brands placing sample and production orders with factories found on Alibaba.com. Our guides to whether Alibaba is safe and the scams buyers run into cover the platform. This one covers the program: the rules, the payment fees, how to write the order, the claim deadlines, paying off the platform, and the alternatives. We read Alibaba's rules, help center and fee table on October 28, 2026.
What Trade Assurance covers and what it does not
The program runs on Alibaba's Trade Assurance Services Rules, in the version that took effect on December 26, 2025. The Chinese text controls if a translation differs. For a supplier registered in mainland China, the supplier promises a refund if it breaks the order in one of these ways:
- Late or no shipment. The goods ship after the shipment date in the order, or never ship.
- Quality below the order. The goods do not meet the quality requirements agreed in the order.
- Missing paperwork. The supplier does not hand over the title documents, or the documents and certificates the deal calls for.
- Another serious breach of the order.
The quality, paperwork and other breaches count only when they cause a major loss in the value of the goods, or defeat the main commercial purpose of the deal that both sides knew or should have known. On a sample order, the covered breaches are late shipment, no shipment or a short shipment, and other serious breaches.
The refund is the supplier's obligation. If the dispute team rules the supplier in breach, Alibaba Hong Kong or an affiliate can advance the refund, capped at the order's Trade Assurance amount plus any frozen funds, which together cover what you paid into that order, plus the inspection fee if an inspection was done. The Trade Assurance limit on a supplier's profile is for reference only and does not reduce what you are owed.
There is no advance refund when the goods or the deal break the law or Alibaba's rules, when the supplier is found not liable, when your claim goes beyond the scope of Trade Assurance, when your information is false or cannot be checked, or when you do not help with a return the ruling requires. Alibaba's Transaction Dispute Rules also refuse claims above the transaction amount, which counts the purchase price and inspection fees along with shipping and bank charges. Lost sales and the air freight you paid to replace bad stock are not covered.
Two smaller guarantees sit on top. The on-time delivery guarantee offers 5% delay compensation, up to USD 100, on eligible orders shipped through Alibaba.com Logistics, so a container booked by your own forwarder is outside it. Easy Return lets buyers in 46 countries, the United States among them, send defective or wrong goods back to a local warehouse at no cost within 30 days of delivery, on eligible products and orders under USD 3,000. That fits samples, not production runs.
Which payment methods are covered and what each costs
Trade Assurance covers money paid into the order through Alibaba.com, including wires sent to the official bank details Alibaba gives for that order. Alibaba's payment page says it directly: "never pay outside of the platform." The program has no separate charge. You pay the processing fee of your payment method, listed in Alibaba's payment fee table, which says the fee shown at checkout wins if the two differ.

- Card, Apple Pay, Google Pay or PayPal: 2.99% of the payment, up to USD 12,000 per transaction.
- Online banking in US dollars: 2.99% capped at USD 30, for payments up to USD 25,000, with 8 business days of processing.
- Pay Later for Business: up to USD 999,999, at a fee set by the finance provider.
- Wire transfer (T/T): an international wire has no upper limit and takes 3 to 7 business days. The only fee listed is your own bank's, around USD 40.
On a $10,000 payment, that is $299 by card, $30 by online banking and about $40 by wire. Check the refund path too. Alibaba's help center says channels with no route back to the original account, such as ACH, SEPA and Boleto, are refunded by wire, and PayPal refunds to the original account only within 365 days of payment. If you paid by card, do not file a chargeback mid-dispute: the rules let Alibaba end its dispute process when you do that before you and the supplier have agreed.
How to write the order so the protection pays
The dispute team measures what arrived against what the order says. The Trade Assurance rules treat the records in Alibaba's systems as the primary evidence and everything else as supporting material, so your terms belong in the online order and its attachments, not in an emailed PDF. Use the terms of a manufacturing purchase order and attach the PO:
- Specification. Materials, dimensions with tolerances, finish, color references and the drawing revision, with drawings attached.
- Approved sample. Its date, photos of it, and a line saying bulk production must match it.
- Quality standard. The acceptance level for inspection, for example AQL 2.5 for major defects and zero critical defects. Our AQL sampling guide explains the levels.
- Inspection clause. A third-party pre-shipment inspection before the balance is paid, who books it, and how many days the supplier has to fix a failed lot.
- Shipment date. A fixed date in the shipment date field. Late shipment is measured against it, so record any extension on the platform.
- Documents and certificates. Every test report and certificate your goods need to clear US customs and go on sale, such as a Children's Product Certificate.
- Incoterm and packaging. The trade term, carton spec and labels. Alibaba assigns freight costs in a dispute by the trade terms in the contract.
- Late penalty. An agreed amount per week of delay. The dispute rules support agreed compensation, capped at what you actually paid on the order.
Keep the negotiation in Alibaba's chat. The Transaction Dispute Rules base decisions on messages in Alibaba's official chat tool, and email, phone calls, WeChat or WhatsApp do not count unless both sides accept them. Where chat and the order disagree, the more recent agreement generally wins, so a change you accept in chat can rewrite the order.
How to file a claim and the deadlines that apply
You can apply for a refund no later than 30 days after the confirmed receipt date, counting the 30th day, or 60 days for Enterprise and Enterprise Pro buyers. Receipt is confirmed when you click to confirm it, or automatically once a shipment passes the longest transit time for its logistics method, and the order page shows that countdown. After you apply, the dispute process gives each step its own deadline.

- Open the dispute. In My Alibaba, open the order and choose More Actions, then Apply for refund. Pick the matching reason and upload evidence, up to 20 files.
- Negotiate. You and the supplier get 3 to 30 days to settle on your own. The supplier must answer within 3 business days or the dispute escalates. Once it answers, you have 5 days to respond, or the dispute extends by 25 calendar days and is canceled if you stay silent through them.
- Ask Alibaba to mediate. The button appears on day 4 if the supplier has not replied, or as soon as it does. A dispute agent normally takes the case within 3 working days.
- Upload evidence on time. When the case asks for your evidence, upload it within 3 days, or the system closes the dispute.
- Get the decision. If Alibaba finds the supplier fully responsible, the refund is issued whether the supplier agrees or not. An agreed return must be shipped and its details uploaded within 15 days. An advanced refund is normally paid within 10 working days of correct bank details, and weekends and Chinese public holidays do not count.
For a sea shipment, this is why the quality check belongs at the factory, before the receipt clock starts. On an In Transit dispute, mediation opens only once the shipment is more than 15 days old, and Alibaba steps in on its own after 30 days of negotiation. A case closed because nobody responded can be reopened within 30 days of confirmed receipt.
What evidence wins a Trade Assurance dispute
The supplier will send its own photos and its own reading of the spec. Your file has to show what the order required and what arrived:
- The order and its attachments, with the spec, sample photos and quality standard.
- A third-party inspection report with measured values against the spec, the AQL result, and photos of failed units with carton marks visible.
- Photos and video of visible defects. The dispute rules ask the buyer to show a visible defect this way first, and the supplier must then prove the goods conform.
- A lab test report for defects you cannot see, such as the wrong material. It must come from a qualified lab, and if the order names a third-party test as the basis for quality, Alibaba decides by its result.
- Chat records and tracking when goods have not arrived, including screenshots of the logistics history.
- A carrier damage certificate when an express parcel the supplier sent arrives damaged. Photograph the outer packaging before you sign, because a claim made after signing needs that certificate.
Claims lose for the opposite reasons: a spec that only says "good quality," terms agreed in WeChat, a deadline missed by a day, or a demand for more than the order was worth.
What happens if you pay outside Alibaba.com
Alibaba's help center says that for an offline order, its dispute team handles only two complaints: the supplier did not deliver after payment, or the buyer did not pay after delivery. It does not handle product quality, damage or short quantities. It calls itself an information platform with no power to impose sanctions on members, and the most it will do is disable the supplier's account.
The Trade Assurance rules require payment to the receiving account named in the order, and a supplier that steers a buyer to pay anywhere else can lose its Trade Assurance status. Only money paid into the order counts toward what Alibaba can refund, so a deposit through Trade Assurance with the balance wired to the factory's own account leaves the balance unprotected. Our guide to Alibaba scams covers the reasons suppliers give for that request.
Jordan Lewis, Importivity's COO, gives new importers the same rule in plainer words: "If a factory ever asks you to wire money to a personal account, stop immediately." In his reel on rookie mistakes he adds two more: pay through Trade Assurance or a third-party escrow service, and confirm the factory's business license and address before any large payment, ideally on a quick video call.
Trade Assurance vs a T/T deposit, a letter of credit or an agent
Each option puts a different party between your money and the factory until the goods are checked.
| Payment route | What protects your money | What it costs you |
|---|---|---|
| Trade Assurance by card or PayPal | Alibaba mediates and can refund up to what you paid, if you claim within 30 days of confirmed receipt | 2.99% of each payment, up to USD 12,000 per transaction |
| Trade Assurance by wire into the order | The same cover, with no upper limit on the payment | Your bank's wire fee, around USD 40 in Alibaba's table |
| T/T deposit and balance straight to the supplier | Only the balance you still hold. No third party reviews a dispute | Bank wire fees on each payment |
| Letter of credit | The bank pays only against documents that match the credit, such as an inspection certificate you require | Bank fees for issuing and amending the credit, plus collateral or a credit line |
| Escrow service or sourcing agent | Escrow releases funds on agreed conditions. An agent checks the factory and goods before you release money | The escrow company's fee schedule or the agent's service fee |
For a first order with a supplier found on Alibaba, a wire into the Trade Assurance order with a pre-shipment inspection written into it keeps a refund route open for the cost of one bank wire per payment. With a supplier you have bought from before, a deposit and a balance paid only after a passed inspection is the usual next step, and our guide to negotiating payment terms covers the split. A letter of credit fits large orders where the supplier wants a bank's promise of payment. Every route works only if someone checks the goods before the last payment leaves.

Frequently Asked Questions
Is Alibaba Trade Assurance free?
There is no separate charge for Trade Assurance. You pay your payment method's processing fee: Alibaba's fee table lists 2.99% for cards, Apple Pay, Google Pay and PayPal, up to USD 12,000 per transaction, while a wire carries only your own bank's fee, around USD 40. The fee shown at checkout takes priority.
How many days do I have to open a Trade Assurance dispute?
You must apply for a refund no later than 30 days after the confirmed receipt date, or 60 days for Enterprise and Enterprise Pro buyers. Receipt can be confirmed automatically once a shipment passes the longest transit time for its logistics method, so check the countdown on the order page.
Does Trade Assurance cover poor quality?
Yes, when the goods miss the quality requirements agreed in the order and the gap causes a major loss in their value or defeats the purpose of the deal. The dispute team compares the goods with the order, so a written spec, a quality standard and an inspection report decide most quality claims.
Does Trade Assurance cover shipping delays?
It covers a supplier that ships after the shipment date in the order or does not ship at all. Delays after the goods leave are separate. Alibaba's on-time delivery guarantee offers 5% delay compensation, up to USD 100, but only on eligible orders shipped through Alibaba.com Logistics.
What happens if I pay an Alibaba supplier outside Trade Assurance?
For an offline order, Alibaba's dispute team handles only non-delivery after payment and non-payment after delivery. It will not handle quality, damage or short quantity complaints, and the most it says it can do is disable the supplier's account. Money wired to a supplier's own account also does not count toward a Trade Assurance refund.
